ZebraDesigner variable data from Excel — free, simpler path

If your source of truth is already Excel or Google Sheets, you do not need a heavy designer database wizard. Free browser mail-merge is enough for most warehouse and e-commerce label runs.

Free browser workflow (step by step)

1. Prepare the sheet — one header row; one label per data row; keep barcode columns as Text so zeros survive.
2. Export CSV UTF-8 from Excel.
3. Design the label — set size/DPI; add text and native barcodes; type {{column_name}} where values change.
4. Load data — open the variables/batch panel; paste or upload CSV; confirm headers map to tokens.
5. Preview — step through first, middle, and last rows; scan-test row 1.
6. Print N — Browser Print the batch; watch media and darkness.

Design rules so variable barcodes still scan

Token naming that does not break next week

• Use simple headers: sku, serial, qty, lot, exp — no spaces if you can avoid them
• Document the required columns in the sheet’s first tab
• Never put two meanings in one column (“SKU / color”)

One design, three barcode types

Teams often clone three ZebraDesigner files for CODE128 vs UPC vs QR. In free browser design you can keep one artboard family and swap symbology per template version. Still: do not mix UPC check-digit data into a CODE128-only process without validating.

Performance on big CSV files

For multi-thousand row runs, print in chunks (for example 200–500 rows), allow the printer to clear, and verify media. That is healthier than one giant job that is hard to restart after a jam.
