Zebra printer offline or media out — fix it fast
When a Zebra printer is offline or flashes media out / paper out, packing lines stop. Most cases are simple: empty roll, head open, wrong gap sensor, USB sleep, or Windows marking the queue offline. Work through this list, then send a clean test from free browser software.
Media out / paper out checklist
- Open the head — is the roll actually empty or mis-threaded?
- Reload direct-thermal (or ribbon + transfer stock if thermal transfer) with the printable side facing correctly.
- Close the head firmly until it latches (see also paused / head open).
- Calibrate gap/black-mark if labels skip after reload — calibrate guide, labels skipping.
- Feed one blank and confirm the LCD/lights clear.
Printer offline (Windows / Mac)
- USB — reseat cable; try another port; disable USB selective suspend on Windows.
- Network — ping the printer IP; confirm same VLAN; restart switch/AP — network setup.
- Queue stuck offline — open printers, clear jobs, set online; after Windows updates see Windows update not printing.
- Driver language — ZPL mode for Zebra jobs; wrong language looks like “offline” garbage — won’t print.
Retest with free Browser Print
Once lights show ready, open mylabelmaker, select the printer, and print a solid text + barcode test. If the printer never appears, use not connecting and the full Browser Print setup.
Blank labels after “fixing” media out often mean transfer media without ribbon, or darkness too low — blank labels, print too light.
