Event name badge labels — free online maker
Event teams and meetups still ask the same question on Reddit and production forums: how do we print simple name badges fast, ideally from a spreadsheet, without buying conference software? A free event name badge workflow in the browser covers most small and mid-size US events — classrooms, open houses, trade-show staff, church check-in, hackathons, and pop-up markets.
What “good enough” badges need
- Large first name readable at handshake distance
- Company / role in smaller type
- Optional logo for the host organization
- Optional QR for check-in, agenda, or digital business card
- Batch from a registration export (not one-by-one typing)
You do not need glossy plastic for every event. Thermal stickers on a badge holder, or PDF pages cut to size, solve most free/cheap events.
Recommended sizes
- 4×3 or 4×2 — common thermal badge / shipping-adjacent sizes
- 3×2 — compact name tags for smaller holders
- 2×1 — too small for full names; better for tickets or sequential numbers
Set the exact width × height in the free designer so text does not clip.
Batch name badges from Excel or Google Sheets
- Export registration as CSV:
first_name,last_name,company,role, optionalcheckin_url. - Design the badge once with tokens:
{{first_name}}large,{{last_name}},{{company}}. - Add QR with value
{{checkin_url}}if you use digital check-in. - Load the CSV in Variables → preview a few rows → batch print the day’s arrivals.
Same mail-merge engine as warehouse SKUs — see batch print labels.
On-site printing tips
- Pre-print most badges the night before; leave a blank design for walk-ups.
- Keep a spare roll of stock and a second browser tab with the design loaded.
- If you print thermal, use a Zebra (or similar) desktop with Browser Print for reliable stacks — Browser Print setup.
- If you only have an office laser, export PDF and print on sheet badge stock (Avery-style).
Name badges vs Avery Design & Print vs Canva
Avery owns sheet-badge mindshare. Canva owns pretty templates. Both struggle when you need thermal volume, unique QR per guest, and free seats for volunteers. mylabelmaker is built for exact sizes, variables, and barcodes/QR — design free, print thermal or export files.
